Recital and Concert Programs Guide

A resource for Western Music students and faculty on preparing concert and recital programs.

All concert and recital programs are shared with audience members digitally. No paper copies are provided for non-ticketed, free admission events. Audience members may download programs from our central Concert Programs webpage in advance or upon arrival at the event, and/or view on the digital screens outside the venue up to 20 or 30 mins prior to the performance depending on the venue. A web link and a QR code are both available at the entrance of each venue to facilitate downloading of the program.

For more template designs or any questions about programs at the Don Wright Faculty of Music, please contact the Communications and Marketing Manager (rachel.condie@uwo.ca) at least six weeks before your recital or concert.

Step 2: Prepare your Program According to the Style Guide.

Format your program based on the instructions in the Style Guide above so that it appears similar to the following sample program:

Step Three: Add Your Program to the Appropriate Template

Select the appropriate Microsoft Word template for your program below. Recitalists may also prepare their programs in another word processor of their choice, however they must follow the formatting in the Style Guide above and be submitted as a PDF file that is saved in the correct filename format, per below.

Please remember to update the footer information for additional acknowledgments (e.g. String Bank loans) and please spell your venue name correctly (Moscovich Recital Hall, von Kuster Hall, Paul Davenport Theatre). See the Style Guide above for reference.

For convenience, templates are available pre-filled with placeholder sample content or without.

Step 4: Submit Your Program

Student Credit Recitals (not Chamber Programs)

Visit the MPS Handbook Credit Recitals webpage for details on how to submit a PDF version of your program to the appropriate contact (Graduate or Undergraduate offices). Please include your full name in the file name plus the date of your recital. All lettering should be lower-case, with no spaces and use of hyphens only in place of spaces (FORMAT: lastname-firstname-yyyy-mm-dd).

Please note that any changes to repertoire will require filling out the recital approval form, and receiving the necessary approvals, all over again. Contact the Undergraduate Assistant mpsdept@uwo.ca or the Graduate Student Assistant ayardley@uwo.ca as applicable for further details about changing your program.

Chamber Music Recital Programs

After your Chamber Music coach has reviewed and approved the final version of your program, and you have saved your program as a PDF file, you can submit your program via online form. Visit the Chamber Music program submission webpage for complete details and to access the form. When saving your file, please include the type of chamber group in the file name (e.g. piano-quartet, string-trio, etc.) and use this format: All lettering should be lower-case, with no spaces and use of hyphens only in place of spaces (FORMAT: chamber-piano-trio-yyyy-mm-dd).

Creating Studio Recital programs are the responsibility of the Studio Instructor. 

Templates

Instructors are strongly encouraged to share electronic versions with audience members, in keeping with all other concerts and recitals at the Don Wright Faculty of Music. If a PDF version is shared with musicweb@uwo.ca three business days in advance, digital copies for audience members will be provided for download via the main Concert Programs webpage and will also be displayed on the TV screen outside MRH/vKH/PDT.

Every effort will be made to add programs sent less than three business days in advance, however due to volume at certain times of year, is not guaranteed.

If printed copies are required, you may make your own photocopies for distribution to your Studio.

If a recital program is not submitted in advance, please email a final PDF of the program to musicweb@uwo.ca by the end of April each year for record-keeping. A historical record is kept in the Music Library each year of all recitals.

Generally, recital program information should be submitted by faculty members (or their TAs) to Rachel Condie (rachel.condie@uwo.ca) electronically two full weeks (minimum 8 business days) in advance of the event. This also allows audience members to preview online in advance, and the chance for you to review a proof.

If extensive formatting is required (e.g. all large and small ensembles, guest artists, personnel listings, including translations) two weeks is appreciated. Ticketed events where a printed program is required (opera and Parsons and Poole) three weeks is required.
